Job Description:

Position Overview:

Full-time administrative support position in the front office of the Upper School.

Essential Functions and Responsibilities:

Manage Front Office

  • Answers main phone line for the Upper School. Transfers calls to appropriate parties, answers questions, and takes accurate messages.

  • Greet visitors, parents and students in a friendly, professional manner

  • Administrative support work including (but not limited to) filing (including enrolled student records), word processing, data entry and photocopying

  • Updates daily upper school bulletin and webpages

  • Orders and maintains office supplies and maintains postage machine and copiers

  • Processes incoming and outgoing post and inter-campus mail, and handles deliveries

  • Maintains emergency medical information and First Aid/CPR lists.

  • Keeps employment law posters and related notifications posted and current as directed by the Business Office

  • Processes upper school email communications

  • Schedules parent-teacher conferences.

  • Provides back-up assistance to Upper School Office Administrator and Attendance Officer when necessary

  • Helps support Substitute Teacher Coordinator

  • Provides daily meds to students as needed

  • Responsible for Blake online book store (MBS). Includes coordinating with MBS reps and Blake staff.

  • Acts as Event Coordinator for: Curriculum Night; Year-end Students Award Program; Awarding process & tabulation; printing of award certificates; Awards program.

  • Supports Upper School Office Manager in maintaining US Calendar.

  • Coordinates Upper School facilities use reservations

  • Handles all paperwork associated with purchase orders and student account charges. Works with the Business Office to ensure that the necessary data regarding student accounts are communicated accurately and in a timely manner

  • Other duties as assigned.

Experience and Skills:

Minimum Qualifications:

  • Three years receptionist/administrative assistant experience

  • Strong communications skills - written and verbal

  • Detail-oriented and thorough with strong organizational skills

  • Strong interpersonal skills - ability to interact with visitors, students and parents in

  • a friendly and professional manner

  • Excellent multi-tasking ability. Able to work with multiple and changing priorities

  • Ability to lift textbooks for bookstore management (up to 5-10lbs)

  • Ability to participate as a contributing member of the Front Office Team

  • Willingness to assist in other areas and with other tasks not defined in position description

  • High level of integrity & confidentiality

  • Strong Microsoft Office and Google Suite skills

  • Interest in and comfort with learning new technology and software
