Job Description:

Position Overview:


The Upper School Administrative Assistant and Attendance Coordinator monitors Upper School attendance, provides administrative support to the Upper School Grade Deans, and completes other duties as assigned by the Upper School Office Manager.


Essential Functions and Responsibilities:


Attendance management:

  • Monitor attendance on a daily basis

  • Input attendance information into Blackbaud

  • Communicate with deans and parents regarding absences / tardiness / detentions / class cuts

  • Reports attendance on a daily basis to Athletics office for sports eligibility

  • Schedule weekly detentions


Other major administrative duties:

  • Coordinate school pictures schedules and maintain contact with the vendor through the year

  • Order and coordinate Metro Transit student bus passes

  • Assign student lockers and assembly seating for advisories

  • Process and mail official transcripts to schools and other organizations for current students

  • Coordinate the ordering of caps, gown, and diplomas as well as other logistics for graduation

  • Serve as staff co-advisor for all student dances, including prom. Duties include planning, management, and supervision before, during, and after the events.

  • Oversee vending machines by contacting vendors for repairs, refunds, and contract information

  • Order and maintain trophies/nameplates for all school awards

  • Provide administrative support for AP testing process

Experience and Skills:

Minimum Qualifications:


  • Three years receptionist/administrative assistant experience

  • Strong communication skills - written and verbal

  • Detail-oriented, thorough, and meticulous with strong organizational skills

  • Strong interpersonal skills, ability to interact with visitors, students and parents in a friendly, welcoming, and professional manner.

  • Excellent multi-tasking ability. Able to work with multiple and changing priorities.

  • Proficiency in Microsoft Office and Google Suite applications

  • Facility and interest in learning other software technology for office use
